Email Organization
Best practice for organizing your Gmail inbox.
The system:
Create a folder (label) for each property, and organize them under parent folders based on status:
- Coming Soon
- Active Listings
- Under Contract
- Sold
What this looks like in action: Each property gets its own folder (ex: Main St 123), and it lives under the appropriate category. When the status changes, just drag it to the new folder.
Why this works:
- Keeps all communication for a property in one place
- Makes it easy to find emails fast
- Helps you stay on top of timelines and details without missing a beat
Always use the property address in the email subject line
Whether you’re sending documents, updates, questions, invoices or photos — including the property address in the subject line is a HUGE help. If you set up Gmail filtering by property, your emails are automatically sorted when the property is in the subject line.
Why it matters:
- Makes emails easy to search
- Helps keep conversations organized
- Prevents confusion between properties
- Saves time for agents, coordinators, lenders, title, and basically everyone involved

Pro Tip:
Try to lead with the property address first, then the topic. It keeps inboxes clean and makes searching SO much easier later on.
Bonus: Let Gmail do the sorting for you (Filters). Want to take it one step further? Set up filters so emails automatically land in the right property folder.
How to set it up:
1. In Gmail, click the filter icon in the search bar (top right)
2. Enter key details (like property address, client email, or subject keywords)
3. Click “Create filter”
4. Choose “Apply the label” and select your property folder
5. Click “Create filter” again
Pro move: Check the box to apply the filter to existing emails so your inbox gets cleaned up instantly.
Pro Tip:
As soon as you take a listing, create the folder and the filter right away.

The Listing Agreement packet is created by the TC Team and can be found on the Google

Once the signed listing agreement submission has been sent, the TC team will begin working
behind the scenes.
Listing Agreement Next Steps
Broker signature
The TC Team will have the broker sign the listing agreement to fully ratify the agreement.
Intro Email
Once the Broker signs, the TC team will send a ratified copy of the listing agreement in a
welcome email to the clients. Agent is copied.
Brag List
60 days before the listing is scheduled to go active (or sooner if the listing paperwork is taken
within the 60 day window), the TC Team will send the sellers a request for the Brag List. This is
a list of major system ages, updates to the home, utilities, and nearby points of interest.
The agent will be copied on this email thread. If sellers do not respond by the week before
listing, the agent needs to send a reminder to the sellers.
Signpost Orders
Unless a specific date is included in the signed listing agreement submission, the TC team will
follow up with the agent two weeks prior to going active to see if you are ready for a signpost.
Once you are ready for a signpost, please email the TC team or submit a task request.
Resale Document Orders
If the HOA Reimbursement agreement is signed, indicating that the sellers would like DDA to
order the resale documents on their behalf, Desire’ will order the resale documents.
*Some HOA/COA’s do not allow for a third party to pay, or they require payment via check.
Some HOA’s do not allow anyone but the seller to order. In those instances, the TC team will
reach out to the seller to let them know how to handle the payment/order. When having the
seller fill out the form, it’s helpful to know who they pay, as that is usually where the documents
can be ordered. A contact email address at the HOA is also very helpful.

Photos
Photo Requests
Photo Requests need to be submitted via the weekly ATO email, due by Friday at noon. The
photography department will reach out to you to coordinate the schedule.
Once photos have been taken and are uploaded by the photography department, the TC team
will upload them to MLS. You are responsible for reviewing the photos to make sure they
highlight the home. Links to photos and 3-D tours are sent from the Marketing team. The TC
Team adds them to the MLS Keystone.
Agent is responsible for organizing photos–the Best 5-10 photos should be first, followed by a
chronological walk through of the home. Also review photo order, and remove any that do not
show the home in the best light (scary-looking utility rooms, etc).
Community Photos
Agents should ask the TC Team to add community photos to their listings before going active or
with the active listing approval. We have a library of in-farm community amenities, parks,
schools, etc. Be specific of which you want added.These requests can be included on the Active
Listing Approval Form, if they haven’t already been submitted.
Please do not request that photos are added after the listing is active.

*Do not request under contract lockbox changes, as the TC team will do that.
Couriers DO NOT:
● Shovel snow
● Walk dogs, clean pet cages or litter boxes
● Sweep or vacuum indoors
● Take out trash cans
● Turn lights on or off, adjust HVAC
Listing Active Date Changes
If your listing’s anticipated active date shifts, you must update on the Coming Soon list:

Fill out the form and submit
The TC team will update their system on the back end, which will also update the Coming Soon
list that all agents can view.
Contractor Estimates
Coordinate a time with your sellers that you can meet with them and the contractor(s) for
estimates. This gives you the opportunity to introduce the sellers and the contractor, but it’s also
a good time to get back in front of your clients.
Walk through the home with the contractor and make sure they understand the scope of the
work you are recommending. It is helpful to have a list of your own notes and specs (paint
colors, links to light fixtures, mirrors, etc) that you can email to the contractor.
The contractor should email the estimate to you the Agent only. Agent is responsible for
reviewing the estimate and ensuring all work is correctly notated. Once confirmed, Agent can
send to the client for review and approval. Agent can connect the client and the contractor to
arrange payment arrangements and start date.
Staging
Consultations
Do not bring Laura in until you have a signed listing agreement.
Laura is available for staging/decluttering consults to discuss furniture placement, item removal,
basic home set-up for photos, and other related items with our clients.
She is working on creating a selection guide with links to tons of options for light fixtures, paint
colors, etc. so we can pull from this with "Designer Selections." Link to follow
Please do not ask her to conduct a renovation consultation - where she is asked to select
everything for a renovation project, such as tile, floor stain, removal of walls, etc.
Consultations are best scheduled for afternoons, and later in the week is usually best for Laura’s
calendar. Get a few days/times that your client is available to meet with you, your Crossover
Partner, and Laura.

Staging Fees
Staging package costs and terms are as follows:
$1000 - accessories only
$1500 - accessories plus a few furniture items to blend with current furniture.
$1500 - staging package - condos under 1250 sq ft. 1 level.
$2500 - staging package - condo, TH or SFH less than 2000 sf tax living area
$3000 - staging package - tax living area more than 2,000 sq ft.
$3500 - staging package - tax living area more than 2,800 sq ft.
**It is best practice to get sellers’ acknowledgement and agreement of staging cost in
writing, whether by email or including in the listing agreement**

Offer a couple dates that could work for your seller based on their active date and when the
home will be ready.
As soon as you have an idea of when you want staging, submit the form. This allows Laura and
her team to start planning what staging packages are available and scheduling movers.
If your timeline shifts, it is very important to let Laura know so she can reschedule.
Staging Invoices
Once staging is in place, accounting will create a staging invoice that will be shared with the TC
Team and agent when staging has been installed. Please forward this email to the sellers.
We recommend the sellers pay the staging fee when staging is completed. Avoid pushing to
settlement.
If staging must be paid at closing, coordinate with the TC Team to ensure it is added to the
ALTA.
MLS Listing and Conveyances/Documents
The TC Team will set up the Keystone in MLS and create the Offer Info/Conveyance document
within a few days of receiving the listing paperwork. You will receive an email with the MLS link,
any outstanding required information and a copy of the conveyance sheet.
The Agent is responsible for going through both and confirming accuracy. The agent is also
responsible for writing the public listing remarks.

This email chain is sent weekly to all agents. Agents must respond to this email by FRIDAY
at NOON in order for a property to be put on Tour, photos scheduled, open houses requested,
and going active on the MLS the FOLLOWING week. If you are not sure, please include the
property. For planning purposes, it’s much easier to cancel than add an additional listing, last
minute.
Properties that are designated as “Zillow” are required to be photographed for Zillow Showcase
so it is very important to note this for Quang and Jefferson.

Launch Week
Launch Week Email and Preparation
The week before your listing goes active, it is important to connect with your sellers to
communicate the Launch Week schedule, and confirm all is ready for the team.
Has all construction/remodeling been completed?
When is a deep cleaning of the home scheduled to happen?
Agents need to send the Launch Week email to their sellers by Friday afternoon the week
before listing. If you have completed the ATO email, Laura and Quang should have their
schedules nearly finalized.
Email template is available in FUB, or you can create your own. It is important to give them a
clear schedule of what is happening and when.

Confirm list price and other details with sellers
This is best done by coordinating a zoom meeting or phone call with all sellers, Tuesday or
Wednesday before the listing goes active.
*If there are any material changes to the listing agreement (specifically, list price), you MUST
have the client confirm in writing. This can be an email or a more formal listing amendment.
Items to discuss:
● List Price
● Showing Availability: daily hours the home will be available for private showings, if a 1 or
2 hour notice is required.
● Seller contact preferences–is the seller living in the home and wants a text or email
notification? Are they not in the area and would prefer not to receive notifications?
● Settlement needs–does the seller need a rent-back? Is there an ideal settlement date or
timeline that fits their needs?
● Will the seller allow pre-inspections?
● “Walk Away Price”--in some very competitive markets, a buyer who wants to secure the
purchase may ask what the seller’s price would be to shut down the listing.
● Offer Deadline–discuss how an offer deadline works and how to determine if/when one
is used
● When Agent will provide feedback from showings and open houses
Active Listing Approval
Once the sellers have confirmed listing price and showing details, Agent MUST complete the
Active Listing Approval Form. This form is found on the

Once the form is completed and submitted, the TC Team will put your listing into the queue to
be put Active on the MLS.
Listing is Active!
Once the listing is active, the TC Team will send an email to the clients and Agent.
Agent should double-check the listing to confirm all published information is correct.
Open House Schedule
The Open House Schedule is published Wednesday evening. Send an email to your clients to
give them the schedule of the open house(s) the upcoming weekend.
Property Info Email to Team
Once the listing is active, Agent should send an email to the team with the property’s important
information. This helps the team speak knowledgeably about the property when hosting open
houses, or showing the home to their buyer clients.

After Launch
Weekly Follow Up
If the listing does not go under contract by the end of the first weekend, Agent should schedule
a weekly call to give the sellers feedback. This should include how many parties toured the
home (private showings, open houses), and any constructive feedback received.
Additional open houses can be requested on the ATO email thread. Peyton will schedule as he
has buyer agent availability.
Set the expectation that we will host at least one open house per month, but can try for more as
available.
Offers
As offers are received, ensure that the [email protected] and any partner agents are
included.
Forward offers to the sellers with a summary of the price and term details.
*EVERY received offer MUST be sent to sellers, even if they have already selected an offer, are
under contract, or it’s just a terrible offer.
Schedule a time to connect with the sellers to review offers and answer any questions. This can
be done by phone, Zoom, or in person.
Ahead of this call, Agent should reach out to the lenders of the top prospective offers to vet
them and their clients.
Multiple Offer Spreadsheet
If multiple offers are received, Agent should set up an offer spreadsheet to organize details. The
spreadsheet should be shared with sellers as a PDF so they can easily review offers with Agent.
Make sure to update offers on the spreadsheet if buyer agents send revised offers.

Ratified Contract and After
Ratified Contract-
Desire’ and TC team MUST BE COPIED on all emails upon ratification! If you receive an
email they are not copied on, please add them into the thread.
FIRST THING, once contract is ratified, Agent must submit the contract through the DDA Portal.

This is the final step, so that the TC team can get started.
Once submitted, the TC team will handle
● Lockbox and rider change
● Title company and lender communication
● Scheduling settlement and walkthrough appointments
● Coordinating access for home inspection, WDI, appraisals, etc
● The TC Team is responsible for:
Inspections: Home, Radon, Well, and Septic
Access
If the buyer agent coordinates the inspection appointment(s) with you, you must let your sellers
AND TC team know.
If you approve an inspection via ShowingTime, verbally or via email, you are responsible for
providing access.
If the TC team provides access, they will handle notifiying everyone.
Negotiations
Agent will negotiate inspection repairs/credits with buyer agent. Once completed and ratified,
send a copy to the Sellers and TC team. The TC team will forward on to the Title company.
The TC team does not handle repair receipts.
Repairs
Agent will need to coordinate with the sellers to ensure agreed upon repairs are completed by a
licensed professional and paid for ahead of settlement.
Receipt language should specify what work was done and clearly correlate to what item on the
inspection addendum was repaired.
Receipts
Agent is responsible for providing all receipts to the buyer agent in one email ahead of
settlement.
Appraisal
Scheduling
Appraiser will reach out to the Agent OR the TC team to schedule. Whoever schedules the
appraisal should provide access info to the appraiser, and let the seller know when it is
happening.
Appraisal Package
Agent is responsible for creating an Appraisal Package to email to the Appraiser ahead of the
inspection. Appraisal package should include
● 3-6 comparable recent sales from the neighborhood/surrounding areas
● A list of updates/upgrades made to the home with year and cost, if available
● Any particular insight Agent has on the neighborhood, location, or other sales that might
affect the Appraiser’s valuation of the home.
De-Staging
Laura monitors what properties are under contract and their settlement dates. She will schedule
to de-stage the home ahead of settlement. The de-staging appointment will be added to the
Agent’s calendar. If the property is occupied, the Agent must notify the Sellers of the
appointment ahead of time.
Contract Changes
If the buyer voids, there are material changes to the contract, or settlement date changes, you
MUST ensure the proper addenda are being completed and filed with the TC team. This
ensures that staging is picked up before settlement, the TC team can coordinate the correct
settlement appointment, and that your Seller is protected by documentation.
Voided Contract
If the contract voids, please let the TC team know immediately so that we can verify lockbox
status (change back to Sentrilock, if needed), change riders, and change MLS status back to
active. If it’s after hours, the agent will need to do these things.
Contingency Removals
The TC team will follow contingency expiration dates and proactively request the financing and
appraisal contingency removals from the buyer’s agent. The agent should follow up with the
buyer’s agent if the removals are not received by the deadline.
Settlement
The TC team will coordinate with the Sellers to schedule their settlement appointment.
The TC will check the Agent's schedule to ensure they are able to attend in-person settlement
appointments with the Sellers. Appointments will be added to Agent’s calendar and TC will
provide confirmation and instructions to the Sellers.
If your client requires special accommodations–remote settlement, Power of Attorney use, etc,
make sure to let the TC team know AS SOON AS YOU KNOW. This will allow them to
coordinate with the Sellers and Title company well in advance so there are no delays.
After Closing
Once all parties have signed, the Title Company will send the TC team the final signed ALTA.
The TC’s will reach out to the Sellers to let them know all has been completed and send a copy
of the ALTA for their files.
With the Agent’s approval, they will also send a review link to the Seller to provide feedback.
